We are looking for an enthusiastic person to come join our Bars team, as an Office Administrator. This individual will provide administrative support to the Bars division, ensuring smooth and efficient performance of the department, and a quality service to clients and contractors.

Hours of Work: 8:30am- 4:30pm

Days of Work: Monday- Friday

MAIN DUTIES AND RESPONSIBILITIES

  • Accurately input any necessary data into the Sage 50 system
  • Provide a high quality, professional response to all telephone and email enquiries from suppliers
  • Provide administrative support to any of the Bars Team where needed
  • Assist in the effective rollout and maintenance of any new databases
  • Provide a point of contact for the rest of the Group and ensure timely, clear communication regarding Health & Safety and stock/tariff information
  • Assist with collation and management of Health & Safety documentation from Bars in line with regulations
  • Facilitate the close liaison with all internal departments, passing on information as required
  • Create documents, reports and presentations as required for tenders, events (including retail tariffs), Board meetings and office systems
  • Assist in the production and maintenance of the Bars schedule of events, and associated planning tools
  • Produce, distribute, and coordinate the allocation of all Drinks Vouchers
  • Collate and manage accreditation for events
  • Assist the Marketing Department with event initiatives, providing information and communicating to internal department heads
  • Undertake general administrative tasks including filing and archiving

KNOWLEDGE, EXPERIENCE AND SKILLS REQUIRED

Essential

  • Strong administration experience
  • Good communication and interpersonal skills with the ability to build effective business and customer relationships
  • Strong organisational and time management skills, with the ability to multi-task and prioritise appropriately
  • Experience of working with data input systems; such as Sage 50
  • Educated to a high level of numeracy and literacy, with a good eye for detail
  • Fully competent in MS Office (Intermediate level or equivalent experience in Excel
  • Tactful and reliable
